An editor can respond more usefully when the manuscript and the request tell the same story. Before sending a file, decide what kind of help you are seeking: overall structure, sentence-level work, consistency, or a final check. If you are unsure, describe the problems you see and ask what service would address them.

Establish the scope

Prepare a short brief with the genre or subject, intended audience, approximate word count, and current stage. Mention any deadline as a proposed constraint rather than assuming availability. Ask what the fee includes, what deliverables to expect, and whether a follow-up discussion is part of the arrangement.

Do not silently send a new version while an editor is working on the old one. Agree on a version process first. Parallel files can make valuable changes difficult to reconcile.

Make the file easy to navigate

Use one consistent manuscript file unless the editor requests otherwise. Apply actual heading styles, remove accidental blank pages, and check chapter order. Keep a separate list of unresolved questions instead of scattering unexplained notes throughout the text.

Name the file clearly, such as a shortened title followed by a version date. Save an untouched copy before accepting changes. Follow the editor's requested file format rather than assuming a PDF or a particular word processor is suitable.

Supply context without directing every sentence

A brief style note can identify unusual names, intentional spellings, viewpoint choices, and recurring terms. Explain choices that might otherwise look accidental. Leave room for the editor to identify patterns you have not noticed.

Close your brief with two or three priorities. “Does the middle repeat the same emotional beat?” invites a focused response. “Make it perfect” does not define a workable outcome.

After the edit arrives, read the overall comments before changing individual sentences. Allow time to understand the recommendations, ask concise questions, and make decisions that preserve the purpose of your book.
